February 2007

 Welcome!

It is a new year with new business challenges for all of us. Our business environments continue to change in the worldwide business climate of today. This brings new opportunities and new focuses that we need to acknowledge and, at some point, come up with various plans of execution. Technology has changed from being a “back room, reactive support system” to a “strategic and focused business initiative” in many businesses. Successful companies today have grown past the former use of technology and now use it in very successful and profitable ways. It may be time for you to reevaluate your use of technology in your organization.

Please take a few moments to browse through the contents of this edition of CDS News.

If you have any questions, concerns or ideas, please let us know. We are here to serve you and your business. We take that mission very, very seriously.

Thank you and have a good day,

Tom

In Summary
Windows Vista is now readily available and you will need to decide how Windows Vista fits in your plans. While Windows Vista is not a “must have” for most users, this operating system has a new look and feel to it. You may need some time to get comfortable with the new interface.

Windows Vista is available on new PCs. It can also be purchased separately and comes in 4 different editions:

  • Home Basic
  • Home Premium
  • Business
  • Ultimate

You can learn more about these editions at www.microsoft.com.

When buying Windows Vista for a new PC, you are less likely to encounter difficulties with the new product, as the hardware of today is designed to match the needs of the software. However, other devices such as printers and scanners may be problematic, especially if they are a few years old.

When buying and installing Windows Vista on a current PC, you will have the same issues with device support as mentioned above. In addition, you have the added concern of whether or not your current hardware will run the software well enough to use it effectively. It is recommended that a Vista PC have 1 GB of memory. There is a new video component of Vista (called Aero) and its video card requirements for the Home Premium, Business and Ultimate editions are fairly high. While Aero can be turned off, much of the “thunder” of Vista is centered on the presentation. Without Aero turned on, much of Vista loses its luster. Not many systems on your desks today will run the Aero component of these three editions without an upgrade.

Application software should also be a concern. Many applications, when installed, look for the Operating System version to ensure that the software is installed properly. Most of this software was created before Vista was released, and when seeing a new OS tag in this field like “Vista”, some software will fail to install or run.

While there are some things to watch for as previously mentioned, Windows Vista will provide a much improved user experience and will be ultimately on many of our desktops over the next few years.

Suggested retail price for full package of Windows Vista is $299 and the suggested upgrade retail price is $199. You can learn more by visiting www.windowsvista.com.

Many users have been asked to install Internet Explorer 7 when the Windows Update process runs. The Internet Explorer 7 upgrade is not reversible – once it is installed it cannot be uninstalled. Problems that users have run into are all over the board ranging from specific websites not working to links not resolving as well as a host of other issues.

If you have installed Internet Explorer 7 (IE7) and have issues using the browser, you can always install Firefox in addition to IE7. Firefox has grown in popularity over the past year and is available at www.getfirefox.com.

If you have not installed IE7, you may want to defer this installation as long as possible. Over time, one would think most of these issues would be eventually worked out, saving you the aggravation that many of us have already encountered.

You can learn more about IE7 at www.microsoft.com.

Microsoft has released Office 2007. The Office product has a whole new facelift and supersedes the previous editions of Office 2003, Office XP and Office 2000.

Office 2007 brings a whole new look and feel to the Office environment. As opposed to menus (a navigational methodology that we all have gotten used to) the new Office 2007 uses what Microsoft calls a “ribbon”.

In addition, Office 2007 supports new default file types for each of its documents that are all based on XML. Office 2007 users will have to use the Microsoft Office Compatibility Pack to save the files in the legacy formats required for interoperability with earlier Office products.

Users who have “test driven” Office 2007 report a positive experience. Like the new Windows Vista, there are plenty of editions available: Microsoft Office Basic 2007, Microsoft Office Standard 2007, Microsoft Home and Student 2007, Microsoft Office Professional 2007 and Microsoft Small Office Business 2007. Each of these products has its place and price tag. For example, Microsoft Office Standard 2007 retails for $399 and can be upgraded for $239 per user.

You can learn more about Microsoft Office 2007 at www.microsoft.com.

Many users have been asking us about home Virus protection. While some of the legacy commercial products have done a good job over time, a product that stands out for us is a free product (for home use only) called AVG Free. We use this quite a bit in home environments. You can learn more about the AVG product line for home use at free.grisoft.com.

Businesses are starting to think about their paper and how they manage their documents. Copeland Data Systems, DocuSyst and TC Technologies have teamed up to deliver an integrated solution to the problem.

If you want to learn more about the issues of Document Management, take a look at www.copelanddata.com/docusyst and give us a jingle.

Many folks now are looking into Voice over IP (VOIP) which is a technology that allows you to make and receive calls over the Internet. Many consumers on the home front have made the move to Vonage (www.vonage.com) and “black box” solutions like it.

Another solution that is very popular in Europe is a free software product called Skype and is available at www.skype.com. You can download this to your desktop and use a microphone and speakers (or a combination headset) to place a call. You can make calls to other Skype users for free. In addition, for a price of $30/year, you can use Skype to place unlimited calls to any phone in the U.S. or Canada.

In addition, we now have Skype integration built into our systems. From any screen that we choose, we can issue a CALL function to automatically dial the phone number of the entry we have on the screen.

What’s new on the server market? Windows Server 2007 is due to be released later on this year. In addition, Exchange Server 2007 is also due to be released. We will have more information on these products in future editions of Copeland Data News.

There has been some progress from the hardware manufacturers on 64-bit Systems. The question is, "should you be using a 64 Bit System?" To use a 64-bit hardware platform properly, you need to have a 64-bit Operating System (like the 64-bit edition of Windows Vista). A user will see great advantages when running applications like CAD (Computer Aided Drawing) and other scientific applications, especially when these applications are designed for this 64-bit architecture. Most applications today, however, are not designed for 64-bit environments. Most business users who run standard software like Microsoft Office will not benefit from the new hardware and software. There will be a day when we are all running 64-bit environments, but we are not quite there yet.  Current 64-bit applications are rather scarce and have had their share of stability concerns. So for most business users, the 32-bit world will be your reality for some time to come.
